Booking and cancellation policy

Brewongle EEC aims to accommodate as many schools as possible throughout the year. Once you have booked an excursion, incursion or camp with us, we have reserved time in our schedule exclusively for your school.

To ensure Brewongle can provide the best possible experience for all schools and students, we ask you to read and adhere to our booking & cancellation policy.

Fees and charges
  • Schools will be charged based on the number of students confirmed as attending the excursion, incursion or camp, or the number of students who attend on the day (whichever is greater).
  • Failure to complete and return required forms at least 7 days prior to the booked date will result in full charge to the school, based on the initial student numbers booked, or the number of students who attend on the day (whichever is greater).
  • DoE schools are required to sign and return the Interschool Journal notice (attached to the confirmation email) with their completed visitor forms. The final journal amount will be calculated on the day of the excursion, incursion or camp.
  • Non-DoE schools are required to provide a purchase order number on their completed visitor forms. Failure to provide a PO number may result in the visit being cancelled.
Return of paperwork

Documents that need to be submitted to Brewongle at least one week prior to your visit:

  • Visitor information form (confirming student numbers)
  • Student information form
  • Interschool Journal notification form (DoE Schools)
  • Purchase Order number required for all Catholic schools
  • If kayaking - prerequisites and requirements form, including visiting school acknowledgement
  • Dietary information (for Camps)
  • Cabin lists (for Camps)
Cancellations or changes to bookings
  • Once schools have made a booking, it is the booking staff members responsibility to make sure that the confirmation paperwork sent to Brewongle EEC is correct and that the school community has been fully informed of the visit requirements.
  • If you need to make changes to your booking, Brewongle EEC requires a minimum 30 days written email notice to make adjustments to your booking.
  • Brewongle reserves the right to cancel or postpone in the event of inclement weather. Please see the Brewongle website for the list of trigger points for cancellation.
  • Schools will be contacted as soon as possible if the weather forecast indicates cancel or postpone conditions
  • If an excursion is cancelled due to weather conditions, no cost will be incurred to the visiting school. In most cases, we will do our best to arrange an alternate visit date.
Fees charged for booking cancellation
  • Within 30 days of excursion or incursion date - $250 administration fee
  • Within 30 days of camp date - $500 administration fee
  • Within 7 days of excursion, incursion or camp date - total fee charged based on the advised student attendance (initial booking)

Weather trigger points for program changes

Brewongle has specific parameters to determine whether an excursion, incursion or camp will be cancelled, postponed, or modified. Schools will be notified as soon as possible if the forecast indicates conditions that may affect the excursion, incursion or camp.

Rain

70-100% chance of 10mm or more.

Consideration given to student numbers and program. Students bring raincoats if showers are forecast.

Heat

35 degrees or higher.

Consult with school about modifying or postponing if 35-40 degrees.

Storm

Severe weather warning or higher issued for storms.

Consult with school about modifying or postponing when non-severe storms are forecast.

Wind

Gale wind warning or higher.

Consult with school about modifying or postponing if strong wind warning issued.

Flood

Flood warning issued for Hawkesbury - Windsor to Lower Portland.

Monitor road closures and warnings during heavy rain events.

Bushfire

Extreme or catastrophic fire danger days.

Emergency procedures
  • Teachers and students should cease activities immediately.
  • Leave all belongings where you are.
  • Follow Brewongle teachers directions to the site emergency assembly point - the meeting area at the Wisdom Tree.
  • Visiting teachers mark student rolls.
  • Brewongle staff to check visitor registration form and confirm attendance.
  • Report to principal any discrepancies.
  • Brewongle staff to check buildings on site and report to principal.
  • Brewongle staff to notify appropriate authority.
  • Await arrival of emergency services or take other appropriate action.
Lockdown procedures
  • Brewongle's principal is responsible for ordering lock-down procedures when a major threat is imminent.
  • Visiting teachers will be informed of the threat and the application of these procedures.
  • The principal or delegate will contact the Police and Emergency Services.
  • Gather in classrooms or safe area. Pull down blinds. Lock doors.
  • Visiting teachers mark student rolls.
  • Brewongle staff to check visitor registration form and confirm attendance.
  • Report to principal any discrepancies.
  • Await arrival of emergency services or take other appropriate action.
Bushfire classification

Following consultations with the NSW Department of Education, Brewongle Environmental Education Centre has been classified as a category 1 school, indicating that it is situated in an extreme landscape-to-site bushfire risk area.

To maintain vigilance and ensure safety, we conduct continual reviews of our Bushfire and Grassfire Response Plan, monitor weather forecasts, and regularly check the Hazards Near Me App for local risk updates.

As a category 1 school, Brewongle EEC must cease all operations on days when the NSW Rural Fire Service issues a catastrophic fire danger rating. Additionally, our operations may be temporarily suspended at any time based on advice from emergency services or the State Emergency Operations Centre. Such closures typically coincide with adverse weather conditions, such as extreme heat, aligning with our established criteria for cancelling or postponing excursions.

In the event of a closure, we will make every effort to reschedule your visit for a safe and appropriate time. Schools will be contacted promptly and consulted regarding any necessary program adjustments.

To further minimise risk during the bushfire danger period (1 October to 31 March) and to facilitate early evacuation if needed, schools are required to arrange for their bus provider to remain onsite throughout the visit, ensuring rapid transport availability in the event of an emergency.
